Office Manager

Class Title: Office Manager – Humane Society of Chilton County
Pay: $10.00 Hourly
Weekly Hours: 25-40

Job Summary

This position consists of administrative work and accounting activities of the HSCC.

Essential Job Functions

  1. Runs the HSCC office operations under the direction of the HSCC Director.
  2. Reviews records, compiles reports, and gives technical assistance to employees as needed.
  3. Manages the collection, accounting, and transmittal of HSCC monies.
  4. Creates monthly shelter report for monthly Board Meetings
  5. Resolves citizen complaints.
  6. Answers inquiries as needed from the public.
  7. Conducts research.
  8. Compiles a variety of statistical reports.
  9. Oversees the maintenance of facilities and equipment.
  10. Requisitions office supplies and equipment.
  11. Performs a wide variety of administrative and clerical tasks.
  12. Provides documents and information to HSCC Executive Board and members upon request
  13. Cleans and maintains offices, lobby and restroom

Education and Experience

  1. Possess a valid driver’s license.
  2. High school diploma or equivalent and a minimum of two (2) years’ increasingly responsible experience in office management and one (1) year experience in customer service; or a combination of education and experience equivalent to these requirements.

Other Characteristics

  1. Willingness to work overtime and non-standard hours as required.
  2. Be willing and available to attend training related to job.
  3. Injuries from animals pose a work hazard for employees in this class.

  4. Ability to complete research ad prepare complex and detailed reports.
  5. Ability to communicate, both orally and in writing.
  6. Knowledge of departmental policies and procedures.
  7. Knowledge of the general care of animals and shelter operations.
  8. Ability to establish and maintain effective working relationships with public officials, employees and the public.
  9. Hear well enough to respond to verbal communication and to use the telephone.
  10. Body movement to bend, stoop and move about.
  11. Physical and mental ability to write and type.

Working Conditions

  1. Work is performed inside.
  2. Exposure to unpleasant odors and noises.
  3. Exposure to bites, scratches and animal wastes.
  4. Possible exposure to contagious diseases.
